Associate Membership

Any person, firm, vendor or corporation engaged in selling, dealing in, and/or manufacturing products, supplies, or services used by the Regular Members of the Society may become an Associate Member of NCMS. Associate Members must continue to be engaged in selling, dealing in, and/or manufacturing products, supplies, or services used by the Regular Members of the Society in order for membership in the Society to remain valid. All Associate Members are subject to and bound by all the laws and rules of the Society that are in force at the time of admission and as altered, revised, or amended thereafter. Associate Members shall have such rights and privileges as may be afforded by the Society from time to time. Associate Members must actively support the tax-exempt mission, programs, and activities of the Society. Membership in the Society is on a calendar year. Half-dues are accepted for applications received and processed after July 1. Membership in the Society is subject to review and approval by the NCMS Membership Committee.

Membership Benefits

Membership Requirements

The company must be currently engaged in selling, dealing in, and/or manufacturing products, supplies, or services used by the Regular Members of this Society and must continue to be actively engaged in the selling, dealing in, and/or manufacturing of products, supplies, or services used by the Regular Members of the Society in order for membership in the Society to remain valid.

Associate members understand and agree to actively support the tax-exempt mission, programs, and activities of the Society and agree to abide by the established policies & procedures of the program or risk revocation of membership.

Policies and Guidelines

Direct Mail/Email Advertising Guidelines

  • On a quarterly basis, the Executive Director will email the membership directory information to associate members in two encrypted files: one for mailing labels, and one with member emails.
  • This list is proprietary to NCMS is not to be disseminated or sold outside of the associate member’s organization.
  • Proposed emails to the NCMS membership must be reviewed by the Communications Committee before dissemination. Please send the final draft to Kyle Fernley at kyle@mmco1.com first for review.
  • When sending out emails, individual email addresses are not permitted to be visible to recipients. Use the “bcc” function, whether using individual email addresses or a distribution list.
  • This list is only to be used for the purpose of promoting your company’s products, services and events as appropriate and applicable to Society members. If there are any questions about what is appropriate, contact the NCMS Executive Director for guidance.
  • When using the list, the organization must identify itself as an Associate Member of NCMS at the beginning of the email and/or in the subject line.
  • Please be sensitive to the fact that people often feel inundated with email, so as a Society we try to minimize how many times emails are sent to all members. Please be mindful of this and avoid email overload to the membership.
  • An “opt-out” option MUST be included in every email sent by the Associate Member to the Society’s membership. In the event a Society member affirmative “opts out” of receiving any further Associate member solicitations, such opt out shall be honored immediately. A failure to so honor a member “opt out” may result in the suspension or termination of Associate Membership.
  • Any surveys to the NCMS membership may not be disseminated without prior approval from NCMS. Submit any proposed surveys to the NCMS Executive Director.

Participation at Chapter Meetings

  • Guest speakers who participate in Society activities at the chapter level are expressly prohibited from promoting their own products and services during their presentations.
  • Should a guest speaker also participate as a vendor at a chapter meeting or seminar, they must adhere to the policies set forth by NCMS. (see below)
  • Vendors must be approved by NCMS in advance and are only authorized to sell or promote their products and services during established exhibit hours and within their assigned exhibit space(s), unless approved in advance by the Chapter’s Executive Committee.
  • Vendors who are also paid sponsors will be permitted to advertise in accordance with the sponsorship agreement, if advertising is available.
  • NCMS’ use of vendors at the chapter level are authorized when the involvement of the vendor(s) is of benefit to the membership and consistent with the Society’s goals. Products and services offered should be of value to industrial security professionals.
  • Chapter officers are not authorized to distribute and/or promote an Associate Member’s products or services on the company’s behalf.

Participation at the Annual Training Seminar

  • Associate Members who wish to exhibit at the Annual Training Seminar must complete all required paperwork, must be approved by NCMS in advance and are only authorized to sell or promote their products and services during established exhibit hours and within their assigned exhibit space(s), unless approved in advance by the Executive Committee.
  • Vendors who are also paid sponsors will be permitted to advertise in the seminar program booklet, based on level of sponsorship, in accordance with the sponsorship agreement.
  • NCMS’ use of vendors at the National level are authorized when the involvement of the vendor(s) is of benefit to the membership and consistent with the Society’s goals. Products and services offered should be of value to industrial security professionals.
  • Associate Members who wish to attend the seminar (but not as a vendor or sponsor) are prohibited from any conducting promotional or sales activities during the duration of the seminar.
  • Associate Members who participate at the Annual Training Seminar as a vendor or sponsor are permitted to host an activity during the seminar but must adhere to established guidelines:
    • Hosted activities may NOT conflict with any official seminar events.
    • The Associate Member must coordinate and pay for activities directly with the property or venue.
    • The Associate Member must maintain separate general liability insurance, as the activity will not be covered under NCMS’ policy.
    • All activities must be approved in advance by the NCMS Seminar Committee. Please contact the NCMS Executive Director directly.

Advertisements in the NCMS Bulletin

NCMS Associate members are welcome to advertise in the bimonthly NCMS Bulletin at member rates.

Use of NCMS Logos

NCMS Associate members are permitted to display the NCMS trademarked logo (provided by the Executive Director) on their company web site, identifying them as Associate Members, with a link back to the NCMS home page. Display of the NCMS logo(s) DOES NOT constitute an endorsement of the Associate Member’s products or services by NCMS and should be clearly stated on the Associate Member company’s web site. The use of the NCMS logo(s) should be limited to the purpose of indicating membership in the NCMS, not an endorsement of the product or service by NCMS.

Member Exclusives on the NCMS Web Site

  • NCMS maintains a page in the “Members Only” section of the NCMS web site to give Associate Members the opportunity to advertise special deals, offers, or promotions that are exclusively for NCMS members.
  • Participation is optional – companies are not required to offer any exclusives to NCMS members as part of their Associate Membership.
  • Those who are interested in participating should send the necessary information to the Executive Director, who will update the page. If there is an expiration date for the offer, include that as well.

Dues

Contributions or gifts to NCMS are not tax deductible as charitable contributions. However, they may be tax deductible as ordinary and necessary business expenses.

Annual Dues (based on a calendar year) are $2000 per company.

Dues are prorated after July 1 to $1000 for the remainder of the calendar year.

Dues are not transferrable.

Dues are non-refundable.

It is NCMS policy to assess a $20 fee for all checks received by NCMS that are returned due to insufficient funds, stop payment requests, etc. The individual is responsible for the original charge plus the $20 fee in order to complete processing. This applies to all NCMS-related products and services including, but not limited to, member dues, ISP applications and workbooks, Annual Training Seminar registration fees, advertising space, and NCMS Store items. This policy also applies to credit card disputes originated by the individual for legitimate charges. Please call us directly if you see a charge on your credit card from NCMS and are unsure of what it is for. If the charge is our error, we will credit your card immediately. If it is a legitimate charge for any NCMS product or service and the charge was disputed, the individual will be charged a $20 fee in addition to the original charge.
